Refund Policy

We realized that mountain biking is a new sport for many, and parents may be concerned their child may not stick with it.  The Arkansas Interscholastic Cycling League strives to put on first in class programs and world-class events.  We provide all our certified coaches, volunteers with the best resources possible through all practices, programs and events.  With this goal in mind, we make a substantial financial investment to cover insurance, training, planning, programs and activities and events.  These expenses are continuously incurred in order to maintain the sustainability of the League. Therefore, it is necessary that we implement a NO REFUND policy with limited exceptions to illness, injury or family emergency.

Refunds for Injured Athletes

The League fee may be partially refundable for season-ending illness, injury or family emergencies that prohibit a student from participating in practices, programs and events.   A Doctor's note must be provided for illness or injury.   There is a minimum $105 non-refundable fee that is incurred to cover insurance and fees.  Refunds cannot be made after the second event.  The League will review refund request which should be in writing and provided to terry@arkansasmtb.org.  All involved parties will be notified once a determination of the refund is made.

No Onsite Registration

There is no Onsite Registration at Arkansas NICA events. Registration must occur prior to attending any event via the Pit Zone with knowledge of your Team's Head Coach. We do have a Lost Plate Fee of $10.00 at the event in the event an athlete is missing their assigned plate (plates have transponder chips).

Weather Policy

Below are the guidelines for how Arkansas League will conduct races in the event of challenging weather. Our primary considerations are the safety of student athletes, support staff, visitors, and potential damage to the venue (trails and infield).

Any decisions regarding cancelling, postponing, or altering start times, lap length, number of laps, etc. will be made jointly by the Arkansas League Director, Chief Course Marshal and land manager. Often this decision cannot be made until the day of the event due to the unpredictable and emergent nature of wet or stormy weather. That said, we will do our best to make the call to cancel, change venue or reschedule by noon the Thursday immediately preceding race weekend.

The Arkansas League will make every attempt to notify the population via email (addresses taken from rider, parent, and coach emails entered when registering in the Pit Zone online registration system), Facebook, Instagram, and website updates as early as possible.

Arkansas League Weather Guidelines:

• Events are held on their scheduled dates and times unless the course or weather on the day of the race is deemed unsafe or dangerous.
• Arkansas League will have the option to delay the start of events from the published times if the weather has created dangerous conditions.
• Courses and/or lap lengths may be altered or shortened because of weather conditions.
  • Arkansas League will advise of changes to course or lap count at the coach meeting if changes are known at that time.
  • Last minute changes will be broadcast to participants at the start of each field via the staging and starting staff.
• All racing will stop immediately in the presence of lightning, thunder or other severe weather events. Course marshals will direct racers off course where they can seek shelter in vehicles, trailers/RVs, or buildings.
• Re-starting an event that has been stopped (and course cleared) due to lightning (or other emergency): depending on schedule and number of laps completed, may be declared over. If time permits, participants will be directed to re-stage at the start line and an abbreviated event will be conducted.

Event/Program fees:

• If an event is cancelled due to weather or acts of nature, Arkansas League typically still incurs most expenses associated with holding the event (site fees, equipment rentals, insurance, etc). Since Arkansas has an all-inclusive Program Fee (one-time fee) that incorporates all events into registration there are no refunds for events due to weather cancellations

Points:

• If an event is cancelled (not able to be moved or rescheduled):
  • No team points will be awarded, and the event will not be included in the season overall team point standings.
  • No individual points will be awarded, and the event will not be included in the season overall individual point standings. Riders will still have a “drop” available from the remaining events (IE: season overall standings will be calculated based on 3 of 4 per NICA rule 8.1) and the 25 series bonus points will be awarded based on completion of all events in the shortened series.
• If an event is partially completed (some fields complete their laps and others do not):
  • No team points will be awarded, and the event will not be included in the season overall team point standings.
  • Individual points will be awarded in all of the fields that completed their event, and those fields will proceed through the season as normal.
  • No individual points will be awarded in the fields where events were not completed, and the event will not be included in the season overall individual point standings. Riders will still have a “drop” available from the remaining events (i.e.: season overall standings will be calculated based on 3 of 4 per NICA rule 8.1) and the 25 series bonus points will be awarded based on completion of all events in the shortened series.
